Committee Member Role Description
Position: Match Secretary
Responsible for: To arrange players availability and games on a weekly
basis
Reportable to: Team Coach and Club Secretary
Appointment term: 1 year
Main Purpose:
Match Secretaries are responsible ensuring the organisation of the team players, opposition and umpires (where required)
Key Duties include:
General
- Collate players’ availability for training sessions
- Collate players’ availability for matches for all players who may be involved with the team. If player is unavailable for an away game, check their availability for a home game for another team
- Contact Club Captain with availability no later than Sunday night
Pre-Season
- Liaise with coaches to organise your team’s participation in pre-season games / tournaments
Home Matches
- Phone opposition and umpires 10 days before game to confirm time of match
- Organise team colours
- Find out if opposition want match teas
- Inform players of meeting times and colours
- Organise match teas (if applicable)
- Bring a team sheet to each match
- Phone local press contacts with result and scorers straight after match
- Send completed team sheet to SHU within 2 days of the match
Away Matches
- Opposition should phone no later than 10 days before the match with times and colours
- If the opposition do not make contact, phone them
- Inform players of meeting times and colours
- Confirm if team wants to stay for match teas and inform the opposition
- Organise cars
- Phone local press contacts with result and scorers straight after match
Re-arranged Games (Home)
- Contact the opposition to arrange a suitable time
- Once a time has been agreed, complete Forms A & B and send to SHU and opposition
- Contact the umpires allocated for the initial date
- If either umpire is unavailable, contact alternative umpires
- Liaise with the Secretary to book a pitch
- If there are any problems, contact SHU
Cup Games
- Arrange 1 umpire for the match (for all rounds except the semi-final and final whether home or away)
- Liaise with the Secretary to book a pitch (for home matches)
