Committee Member Role Description
Position: Club Secretary
Responsible for: Club administration
Reportable to: BGLHC Committee
Appointment: 2 years
Main Purpose
To ensure the Administrative function of Bona Grass Grove Ladies Hockey Club is carried out efficiently, effectively and timeously.
Key Objectives:
- To attend and minute monthly Club Committee Meetings. Issue minute within 2 weeks of the meeting to all Club Members. (President of the Club checks accuracy of minute before distributed).
- Responsible for devolving the relevant and appropriate information to Match Secretaries for all teams within the Club. Ensure Match Secretaries know their role in relation to organising the team’s matches, liaising with both opposition and umpires and informing the press of results and goal scorers.
- Responsible for booking/cancellations of all indoor and outdoor facilities for BonaGrass Grove.
- Responsible for collating and issuing “Club Welcome Pack” to all current and new members within the Club – issue a “Parent Pack” to junior members.
- First point of contact for all correspondence received – mainly from SHU/Midlands.
- Attend Midlands Clubs Meetings, usually held Bi-Annually and feedback any information relating to the Club re – Cup Draws: etc.
- Ensure all Indoor League both National and Midlands is passed to Indoor Captain.
- Collate and make available previous minutes and reports for ‘AGM’ – Book venue, inform all club members and minute meeting.
- Liaise with Club Treasurer re Annual Registration of Club Members for both SHU and Midlands.
- Keep up to date database of all Club members.
- Liaise with SHU, new player and former Club re “Transfer Forms”.
